Shifts that cross midnight

The tricky case in any hours calculation is a shift that ends the next day — clock in at 22:00 and out at 06:00 and a naive subtraction gives a nonsensical negative eight hours. When the end time is earlier than the start time, the correct reading is that the finish falls on the following day, so the real answer is eight hours. Enter the times exactly as they occurred and check the result makes sense for an overnight shift.

Remember to subtract your breaks

This gives you the gross span between clock-in and clock-out. It does not know about an unpaid lunch or rest breaks, so if your pay is based on hours actually worked, subtract those separately — a 09:00 to 17:00 day with a 30-minute unpaid lunch is 7.5 paid hours, not 8. For payroll or billing, treat the figure as the raw duration and adjust for breaks and any rounding rules your workplace uses.
